DATA COLLECTION: WHAT’S NEEDED FROM YOU?

A complete efficiency analysis of a private fleet requires a comprehensive collection of data from many aspects of a company’s operations. Here is a list of items that should be considered in that analysis.

    Financial Information:

  • Annual production (by whatever
    performance measurement is used)
  • Annual transportation expense
  • Transportation cost per --- (whatever
    performance measurement is used)
  • Shipment information

  • Electronic format preferred
    if available or hard copy Bills of Lading
  • 2 week’s of data is the minimum for an average representative period
  • Origin/destination data by trip and stop to include: (name, city, state, zip ship-to address)
  • Departure and arrival times by trip and stop
  • Stop data by trip to include:
    weight, pieces, stop time, etc.

    Origin Information:

  • Days and hours of operation
  • Loading hours
  • Driver or shipper load
  • Live load or pre-load
  • Remote domiciles?
  • How are drivers, administrators
    and managers paid? hourly,
    salaried, activity-based?
  • Overview of current benefits (paid holidays, vacation policy, medical, 401(k)
    match, pension)
  • Overview of driver pay variables (pay per mile, stop, hour, etc.)
  • If union labor, provide labor agreement. Vacation schedule and weeks per man, and seniority list

    Equipment Information

  • List of all equipment, type and domicile (include owned or leased)
  • If leased - Schedules A, current fixed and variable lease rates
  • If owned - current NBV, monthly
    depreciation, current miles, year,
    make mode
  • Estimated annual system miles for fleet
